How do pre-book BSL interpreter for my meeting?

Access to Work customers can now pre-book interpreters directly through the Convo Account Portal.

 

 

 

You can now pre-book interpreters for meetings or trainings directly through your Convo Account Portal.

When you log in to the portal, select the "Book an Interpreter" tab.

This will take you to the pre-booking form where you can enter the date, time and type of meeting you need support for.

If you select Weekly Recurring Meeting, we will automatically arrange interpreter support for the same time each week for up to 12 weeks.


How will you be joining the meeting?

Please let us know whether:

  • You will be using Convo Now to make the call, or

    Convo Now

  • You would like the interpreter to join an external platform such as Zoom, Microsoft Teams or another video conferencing service.

For off-platform meetings, you will be asked to provide the meeting link.

Please check this carefully before submitting your booking, as an incorrect link may prevent the interpreter from joining your meeting.


Longer meetings

For meetings longer than 30 minutes, we will assign two interpreters to work together in line with our Terms and Conditions and industry best practice.

If you already have a preferred co-working interpreter for meetings longer than 30 minutes, please provide their details when submitting your request. This allows both interpreters to prepare and coordinate in advance.

To provide the best possible service, please share any relevant information about your meeting, such as:

  • Summary or context of the meeting
  • Meeting agendas
  • Presentation slides
  • Relevant documents or links

The more information interpreters receive in advance, the better prepared they can be to support your conversation.


Managing your bookings

Once your booking has been confirmed, you can view both upcoming and past bookings within your Convo Account Portal.

You can also rebook previous meetings without having to complete the booking form again, saving you time when arranging regular appointments.

Before you submit an off-platform booking, we will ask you to confirm the meeting link to help avoid any connection issues on the day.


Cancellation Policy

Once your booking has been confirmed, interpreter time is reserved specifically for you.

The following cancellation charges may apply:

More than 2
business days before your meeting
Between 2 business days and 24 hours before your meeting Less than 24 hours before your meeting,
or if you do not attend
No charge. Up to 50% of the booked session duration may be charged. 100% of the booked session duration will be charged.

Additional Time

Interpreter time is booked based on the duration requested when you make your booking.

If your meeting runs longer than planned and the interpreter is available to continue, any additional time used will be deducted from your package.


About You and Your Job

To help our interpreters provide the best possible service, please complete the "About You and Your Job" section with as much detail as possible.  You can find the section next to your Pre-booked meetings:

This information helps interpreters prepare for your meetings and better understand your working environment.

Please include details such as:

  • Your job title and role
  • Common acronyms or specialist terminology used in your workplace
  • Industry-specific language or technical terms
  • Any interpreter preferences or requirements
  • Expectations for how you like meetings to be interpreted
  • Any other information that may help interpreters support you effectively

Keeping this information up to date helps ensure a smoother interpreting experience and reduces the need to explain the same information before each booking.
