How do I manage my ATW budget?

Access to Work (ATW) funding can be life-changing, helping deaf people access interpreting and communication support in the workplace. However, many customers tell us they are unsure how much of their budget they have used or how much remains.

The good news is that a few simple habits can help you stay on top of your budget and avoid unexpected surprises later in the year.

Why Should I Track My Budget?

Your Access to Work award is usually allocated for a fixed period, often 12 months. If you use your support more frequently than expected, your budget may run out before your review date.

Regularly monitoring your usage can help you:

  • Understand how much funding remains
  • Plan for busy periods at work
  • Avoid running out of support unexpectedly
  • Identify when you may need to contact Access to Work about changes to your circumstances

Know What Your Award Covers

Your award letter should explain:

  • The total budget available
  • What support has been approved
  • The period the award covers
  • Any specific conditions or limitations

Keep a copy of your award letter somewhere accessible so you can refer to it when needed.

Download Our Access to Work Budget Tracker

We've created a free Access to Work Budget Tracker template to help you monitor your funding throughout the year.

The spreadsheet allows you to record your communication support usage, estimate your remaining budget and plan ahead for busy periods at work.

The template is fully editable, so you can add, remove or amend fields to suit your individual needs and working style.

Please note: This tracker is provided for guidance only and should not be considered an official record of your Access to Work award.

Review Your Usage Regularly

Rather than waiting until the end of your award period, consider checking your usage each month.

Ask yourself:

  • How many interpreting hours have I used this month?
  • Am I using more support than anticipated?
  • Are there any upcoming meetings, projects or training sessions that may increase my usage?

Small checks throughout the year can make a big difference.

Plan for Busy Periods

Most jobs have quieter and busier times.

For example:

  • Annual reviews
  • Team meetings
  • Conferences and events
  • Training courses
  • Recruitment interviews
  • New projects

If you know these activities are coming up, it can help to factor them into your budget planning.

Keep a Simple Record

Some customers find it useful to keep a basic spreadsheet or notebook recording:

  • Date
  • Type of appointment or meeting
  • Length of interpreting support used
  • Estimated remaining budget

You do not need a complicated system. A simple record can help you spot trends and stay informed.

Tell Access to Work About Changes

Your communication support needs may change during the year.

You should consider contacting Access to Work if:

  • Your role changes significantly
  • You take on additional responsibilities
  • Your working hours increase
  • You need more communication support than originally anticipated

Keeping Access to Work informed can help ensure your support remains appropriate for your needs.

Don't Wait Until Your Budget Is Exhausted

If you are concerned that your funding may not last until your next review, it is usually better to raise this early rather than waiting until your budget has been fully used.

Early discussions often provide more options and allow more time for support arrangements to be considered.
